Workspaces

Everything in Todomino lives in a workspace: tasks, lists, members, and attachments. You always work inside exactly one workspace at a time — the switcher at the top left shows which one.

Every account starts with a personal workspace. It is yours alone: it cannot be shared, renamed, or deleted, and it is the home for everything you don’t collaborate on.

Shared workspaces are for collaboration — family, team, or project. Create one from the workspace switcher (New workspace). You become its owner.

  • Workspace names must be unique among the workspaces you own.
  • Free accounts can own up to two shared workspaces (the personal one does not count).

Owners and administrators invite people by email: open Settings → Workspace, enter one email address per line (up to 20 at a time), and send. Every address receives a personal invite link, valid for 7 days and tied to that email address — it only works for an account signed in with the invited address, and it works exactly once. Re-inviting an address sends a fresh link and voids the previous one.

Recipients see who invited them and can accept or decline — nothing happens automatically. Someone without a Todomino account signs up with the invited address first; the invitation is picked up right after the account is confirmed. New members join with the member role.

A workspace can hold a limited number of members — 5 on the default plan, counting everyone including the owner. The limit comes with the owner’s plan. When a workspace is full, invites can no longer be accepted and members can no longer be added — both fail with a clear message. People who are already members are never affected.

Members and administrators can leave a shared workspace they joined in Settings → Workspace. The tasks you created stay behind, shown as “Inactive User”, and your assignments are cleared. The owner cannot leave — transfer ownership first, then leave as an administrator.

Owners can hand a shared workspace to another member in Settings → Workspace → Transfer ownership: pick the new owner from the member list. You stay on as an administrator, and the workspace’s storage and member limits follow the new owner’s plan from that moment. The transfer is refused when the new owner already owns as many shared workspaces as their plan allows, or already owns a workspace with the same name. Personal workspaces can never be transferred.

Owners can delete a shared workspace in Settings → Workspace. Deletion is permanent and cascades to all tasks, lists, memberships, and attachments — you are asked to type the workspace name to confirm.
